Xplor Feature Requests

When searching by educator, could you please consider adding a sorting function and the option to organise documents or reports into folders? This would help us manage and track information more efficiently.

Some of the forms available do not meet the needs of every individual service's circumstances or legislative requirements. To properly enable us to use these forms, Xplor needs to acknowledge the capability of each service to meet their own legislative requirements and to enable forms such as the enrolment form or incident report forms to be fully editable with no restrictions. For changes on the enrolment form, we would also therefore need permissions to link answers to certain aspects of Xplor, such as being able to have a ticked box for permissions being able to toggle the 'no photographs' symbol on the child's profile, or for contacts to show the correct collection permissions. This would allow canny to stop being inundated with requests to change wording, permissions, or whatever else on each of these forms due to their needs being different to what Xplor states covers the legal requirements as per only their opinion and reading of the requirements. I would be more than happy for this to come with a waiver to sign stating that Xplor takes no responsibility for any legislative requirements being missed, misunderstood, etc., should the default Xplor forms not be used. One example, though there are plenty throughout Canny and I can give as many more as needed, is something as simple on the enrolment form as wishing to change the question 'Does your child have any medical allergies' to be a Yes/No answer instead of a checkbox so that it can then be made mandatory to answer. As it is currently not mandatory to answer it, along with many similarly worded questions on the enrolment form, can be mistakenly missed when a family is scrolling through the enrolment form and therefore important medical information is not given to our service. Another example is that I cannot edit the details on 'Additional Carer' or 'Emergency Contacts' so that, should a name be added to this section, other items become required instead of optional. As it is a legal requirement to ensure these contacts have certain information filled, we again are needing to do follow up work to remain compliant if a family chooses to add someone on but does not submit all details in that section.

Create sound notification for the Chat box in Office Xplor .Xplor Office does not appear to have a built-in sound notification for its chat or messaging features. This means I won't receive an audible alert when new messages come in through the platform & i misses the message box

Parents with more than one child often describe the current booking process as stressful - especially for sessions that fill up quickly. Because each child must be booked individually, families can end up in the frustrating situation where one child secures a spot while the others miss out. This leads to cancellations, extra phone calls, and a sense that the system isn’t supporting multi‑child families. A unified booking flow that allows parents/guardians to select all their children at once would make a meaningful difference. It would: Give families instant clarity on whether all children can attend Prevent accidental single‑child bookings Reduce cancellations and support calls for services Create a smoother, fairer, and more modern booking experience This improvement would significantly enhance usability for a large portion of families who rely on Xplor every day.

When using the table function, could you please look into improving the copy and paste function? We have noticed that sometimes when we paste information into the table, the text becomes unreadable characters.

When using the table function, could you please consider allowing the whole column to be changed to a different colour? This would make the table clearer and easier to read.

Could you please consider adding a filter function for incident reports, so we can easily identify which reports are still unsigned by families? At the moment, we can still view the reports, however we are not able to filter and pull out only the unsigned reports.

Can we please send a reply to parents when we reject or confirm a notification? Have a feature to add a comment to sit alongside their return notifcation

There is no easy way to locate which parents you have sent a post to via Comms Centre. It shows you only 10 parents at a time so we have to flick through over 60 pages to find out whether a parent recieved our Comms post or not. There should be a search option when navigating which parent has been sent specific comms.

Incident reports are currently not compliant with the updated NSW regulations. While Xplor advises adding the name of the person making the notification within the notes, this does not allow for a signature and therefore does not meet compliance requirements. Please update the notification section of the reports to include both the name and signature of the person making the notification, so centres in NSW can continue to use online forms.
